The Big Sky Adventures (TBSA) – Cancellation & Payment Policy

Client-Initiated Cancellation:

  • Cancellation from the time of booking up to 6 weeks prior to departure: A cancellation fee equal to 10% of the total trip cost will apply.
  • Cancellation between 4 to 6 weeks prior to departure: A cancellation fee equal to 50% of the total trip cost will apply.
  • Cancellation less than 4 weeks prior to departure: A cancellation fee equal to 100% of the total trip cost will apply

No Shows:

Failure to appear for the trip without prior notice will be treated as a ‘no-show’ and will result in forfeiture of the full trip cost.

Additional Days Due to Unforeseen Circumstances:

Any additional day(s) beyond the scheduled trip dates caused by unforeseen circumstances (e.g., weather delays, road closures, flight disruptions) will be charged at actual cost, payable by the client on-site.

TBSA-Initiated Cancellation:

In the unlikely event that TBSA must cancel a trip due to external factors such as political unrest, natural disasters, or flight cancellations, we will offer to reschedule and carry the trip forward for up to three (3) months from the original departure date. Please note that TBSA is not liable for any additional expenses or losses incurred by the client, including but not limited to visa fees, airfare, or personal travel arrangements.

Force Majeure Clause:

In the event of extraordinary circumstances beyond our control — including but not limited to war, war-like situations, natural disasters, political instability, or government-imposed travel restrictions — The Big Sky Adventures cannot be held responsible for any resulting cancellations, delays, or disruptions. In such cases, any payments made by the client will be retained to cover non-recoverable expenses already committed on their behalf.

Reservation and Payment Terms:

  • A 50% deposit is required to confirm your booking. The exact amount will be specified in your customized itinerary.
  • The remaining balance must be paid no later than six (6) weeks prior to the start of the trip.
  • For certain exclusive or specially curated trips, full payment may be requested earlier — typically 8 to 10 weeks in advance — to secure bookings with third-party partners and vendors.
